Daily census and per diem billing

ConductColony takes a census of every billable cage and tank each morning, prices it at your per diem rates, and builds a monthly statement for each lab.

Census and billing come with the Institution plan, priced for each facility.

A census by room each morning

The census is taken each morning from the cages and tanks in use.

Each line shows the lab, protocol, animal count, rate and charge, grouped by room.

Today's census, grouped by room: each tank's lab, protocol, species, animal count, rate, units and amount, with a Correct link on each line.

Corrections with a reason

Staff can correct a line's lab, protocol, rate or units for that day.

Each correction needs a reason and is recorded in Activity.

Rates by species and housing

Monthly statements for each lab

The facility manager builds each lab's statement from the month's census.

A statement moves from draft to final to exported.

A final per diem statement for one lab: 2,302 rodent cage-days at $1.07 and one animal order processing charge.

Service charges and CSV export

One-off charges, such as an animal order fee, are added to the month's statement.

A month's statements export as one CSV file.

Check the census at the rack

Staff pick a room on a phone and scan every card and tank label in it.

The check lists cages billed in that room that were not scanned, and scanned cages that are not billed there.

Each PI sees their own statements

A PI opens and exports only their own lab's statements.

Statements for other labs stay hidden from them.
